This Privacy Policy describes how Diamond Data Co. ("Company," "we," "us," or "our") collects, uses, stores, and shares information in connection with our player evaluation report service. It applies to information submitted through diamonddataco.com and does not apply to third-party sites we link to. This Policy should be read together with our Terms of Service, which governs use of our services generally.
We collect only what a parent or legal guardian submits at checkout in order to produce a Report:
Submitted information is used solely to generate and deliver the Report you purchased: producing the written evaluation, identifying relevant instructional drill videos, building any applicable Pitcher Recovery Plan, generating the PDF, and emailing it to the address provided at checkout. If you hold a Full Season package, we also use a normalized version of the player's name, grad year, and a one-way hash of your email to track remaining report credits and to connect this weekend's Report to prior Reports for the same player and family, so later Reports can reference earlier ones. We do not use submitted information for advertising, do not build marketing profiles from it, and do not sell it.
Submissions (including uploaded files) are held temporarily in encrypted cloud storage (Netlify Blobs) under a random access token, used only to generate your Report. Once your Report is successfully delivered — typically within 24 hours — the submission is deleted. If report generation fails, the submission is retained only as long as needed to diagnose and resolve the failure.
For Full Season customers, we retain a compact summary of each Report (tournament, date, a short stat line, and a brief synopsis — not the full report text) to support continuity across the season. This summary is scoped to your family only, using a one-way hash of your email, and is automatically purged once the player's listed grad year has passed. Season report-credit balances are similarly deleted once exhausted or expired.
Producing and delivering a Report requires sharing limited information with a small number of service providers, each acting on our behalf:
These providers are contractually or by policy restricted to using information only to provide their service to us, not for their own marketing purposes. We do not share submitted information with any other third party, and we do not sell information to data brokers or advertisers.
Our services are intended for use exclusively by parents or legal guardians submitting information about their minor child; they are not directed at, marketed to, or knowingly used by children directly. Information about a player (name, position, grad year, stats, narrative) is submitted by the parent or guardian, is used only to generate the requested Report and, for Season customers, to maintain continuity across that same family's Reports, and is not used for any other purpose. A parent or guardian may request deletion of their player's information at any time by contacting us (see Section 8).
diamonddataco.com does not use advertising cookies, tracking pixels, or third-party analytics. Stripe Checkout may set functional cookies necessary to process your payment securely; these are governed by Stripe's own privacy policy.
We use reasonable technical and organizational measures — including encrypted storage, access tokens, and automatic deletion schedules — to protect submitted information. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
Submitting a Perfect Game profile URL or uploading stat files beyond the required minimum is optional. You may request access to, correction of, or deletion of your or your player's information, or ask us to close out a Full Season credit balance, by emailing hello@diamonddataco.com. Because Reports are generated and delivered quickly, requests received after a Report has already been sent cannot undo that delivery, but will be honored for any information we still retain going forward.
We may update this Privacy Policy from time to time. The current version will always be posted at diamonddataco.com/privacy, and continued use of our services after a change constitutes acceptance of the revised Policy.
